Five Signs You Are Overpaying for SaaS

Seat sprawl, duplicate capabilities and annual auto-renewals quietly inflate most software budgets.

1. Seats outnumber active users

Export your seat list and compare it against 30-day activity. Ten per cent waste is normal; forty per cent is common and fixable in an afternoon.

2. Two tools do the same job

Project trackers and document tools overlap constantly. Pick the one your team actually opens and migrate.

3. You are paying for a tier you outgrew backwards

Usage falls after a launch, but nobody downgrades. Review tiers against last quarter's actual usage, not the peak.

4. Annual renewals pass unexamined

Put every renewal date in one calendar with the owner named. Vendors negotiate hardest in the two weeks before renewal.

5. Add-ons cost more than the platform

When app subscriptions exceed the core platform fee, it is usually cheaper to consolidate or build the missing piece.
